How to Plan a Party

A STEP BY STEP GUIDE ON HOW TO PLAN YOUR NEXT PARTY

Set the Vibe

Every great party starts with a feeling. Is it a cozy and low key get together? An elevated and elaborate celebration? Or a playful theme-driven party?

This is where you decide:

  • The type of gathering / what’s it for? (dinner, a birthday, a shower, just because)
  • Overall mood, colours, and level of effort
  • Rough guest count + budget

Once the vibe is clear, every decision gets easier.

Build the Plan

Now it’s time to get organized and nail down some key details.
This step covers:

  • Guest list + invitations
  • Menu planning (what to make, buy or outsource)
  • Party decor vision / moodboard
  • Timeline (what needs to happen and when)

This is where you go from ideas to a realistic plan that fits you.

Pre-Party Prep

This is my favourite part. And it can look many different ways.
Focus on:

  • What needs to be purchased (decor, serving pieces, etc)?
  • What do you already own that you can use?
  • Simple styling moments that make guests feel thought of. These can typically use printable elements that add to the party.
    Think menus, name cards, drink station signage, the small details!

You don’t always need more stuff, you just need a plan for the stuff.

Shop, Prep & Party Set Up

By the time guests arrive, the heavy lifting should be done.
This step is about:

  • Final setup – the stuff that needs to go out just before guests arrive
  • Easy hosting cues (music, lighting,light the candles, fill the ice, put out any apps)
  • Letting go of perfection and enjoying the moment

The goal isn’t a flawless party, it’s a welcoming one.

Host and Enjoy the Party

You’re hosting for a reason and that’s to enjoy the company!
By the time the guests arrive, all the heavy lifting should be done.

  • Final touches should be done 15-30 min prior to guest arrival. That means beverages are out, candles are lit, lights are dimmed, music is playing.
  • Apps or snacks are set out for guests to nibble on upon arrival.
  • Letting go of perfection and being present with your guests! Take in what you have prepared.

The goal isn’t to have a flawless party, it’s to have a welcoming one.
